MINUTES of meeting held at Royal Perth Golf Club on Tuesday 2nd February 2016

We also now have a vacancy on the committee due to Brian Munro’s resignation since the AGM. Will look to fill this spot in due course possibly from one of the club reps stepping up.

The fixture program for this year is complete with all dates covered by bookings and sponsors allocated to games. We were unable to reach agreement with green fee costs for Royal Fremantle, Melville Glades and Cottesloe. Preference for multiple bookings was given to clubs which offered us the best deals.

The final day game and carvery will again be held at WAGC.

Apart from the opening day at Hartfield shotgun starts will be kept to those courses where the cost includes the carts.

Country vs City challenge is set for April 4th at Bunbury,  10am shotgun start with carts optional. Will need to open booking sheet early and promote the day to ensure we push for as many numbers as we can.

The circulation of the new fixture book was discussed with two options agreed to consider rather than usual mail out. Firstly by direct hand over to those members playing on the day of the first few games in February. The balance of the books might then be distributed by the club reps direct to the members from their respective clubs as and when they can make contact with them.

A summary of income and expenses for both the Kalgoorlie trip and the WAGC closing day carvery was also reviewed.


The summary of green fee income and expenses was presented for the calendar year showing the nett position for each game after inclusion of sponsorship income and trophy expenses. It also showed the varying attendance levels over the range of courses that were played against the average attendance of 86. The range was from a low of 56 to a high of 137 at our end of year game.


As a way to boost numbers at low attendance courses the option to introduce visitors for the day was to be continued and promoted via the web site.

As normal at this time of year we have a number of members who elect to not continue their WAVGA membership. With a further number of outstanding renewals still to be resolved it is likely we will end with less than 450 members.

The new order for WAVGA golf shirts has only reached 20 so far. To encourage further orders we will look at options to ensure we have the latest “dry fit material” and also an option to have members names printed on the shirt. A further option to have a breast pocket will depend on pricing and whether it can be done separately.  



SA Vets have asked for further promotion of the 2016 National Champs to be added to our web site. Our webmaster will take this on board with details and a link to the SA web site.



Mike’s sponsorship report was presented. The sponsorship fixtures for 2016 have been finalised with 18 sponsors on board. We have lost Eagle Wools but gained two new sponsors, Ultimate Fencing Contractors and Carousel Physiotherapy & Podiatry.

Distinctive Golf have been retained with 2 golf days and a full page add for the current rate of $250. 

The sponsor’s details on our WAVGA website will be updated as per our current list.

New artwork for sponsors will be forwarded to Jiffy for our 2016 fixture book.

Wanneroo Vets have also asked us to circulate the date of their Vets Open day on Friday 15th April.

The Captain reaffirmed the role that the club reps are expected to play in the running of our organisation.

1.At each club the rep is the contact point for all current and future members. Encouraging eligible club members to join WAVETS and having application forms available. Outstanding membership renewals can also be followed up directly with club members where necessary.

2.On WAVET  days at each club there should be two reps who play in the last group on the booking sheet. For our normal 11am start they need to be available to help set up the registration desk from 10am. If unable to play there should be a stand in nominated for the desk.

3.Attendance at the AGM each year is important to be able to express any concerns or queries for your club members.

4.A number of games at public  or resort courses will not have club reps available so volunteers to help out on the desk would be greatly appreciated


Club reps asked if the membership application form can be made available on the website for them to access as required. This would also ensure they have the latest version or update at any time. This would also apply to the information leaflet explaining the operation and aims of WAVGA.


Club reps were also asked to assist where possible in advising club members that still had outstanding renewal fees for this year.


The meeting closed at 12 noon with the President and Captain thanking all for their attendance and contribution.
